What is SmartApply?

SmartApply is a simple, quick and modern application form that can be used by companies to make their application process as easy as possible for applicants.

Companies use SmartApply by singning a contract with SmartApply and integrating SmartApply’s job application form technology into their career website or online job advertisements.

SmartApply is developed, operated and provided by SmartApply GmbH, which is the responsible party as stated in GDPR.

What does SmartApply do with my data?

SmartApply stores and processes your personal data for the following purposes:

SmartApply collects the data you submit during your job application in order to forward it to the company to which you have applied. SmartApply deletes your data right after your application at the company is finished.
If you want SmartApply to “remember” the data you entered, in order to pre-fill the SmartApply application form with your application data next time you apply, SmartApply will store your application data for this purpose.
SmartApply is constantly working to make application process faster, easier and more convenient. For this purpose, anonymous usage data is collected, stored and evaluated.

Your data will not be used for automated decision-making (profiling). The legal basis for processing your data is Art. 6 para. 1 letter a of the GDPR.

Which of my data does SmartApply process?

SmartApply processes or stores the data that you disclosed in the course of your application, as well as additional data that you might provide when registering or creating a SmartApply account.

This data includes:

Personal data such as name, address, email address and telephone number.
Curriculum vitae, usually including education, work experience, skills, etc.
Various job-related information such as desired job, desired place of work, salary expectations, etc.
Optionally answers to additional questions that the company needs to process your job application, such as driving license, willingness to work shifts, voluntary work etc.
Optionally, a letter of motivation, work references or other documents that you might upload in the course of the application.

Important: When applying, please never include sensitive personal information such as religion, health data, ethnic origin, etc. – this is nobody’s business but your own! SmartApply generally never asks for such information, please also don’t mention it in your CV.

Which control do I have over my data at SmartApply?

You have the right to request information about which of your data is stored by SmartApply at any time. If SmartApply has stored any of your data, you of course have the right to have it changed or deleted at any time. To do any of this, please contact us at [email protected].

Who has access to my data?

We would never pass on your data to third parties. The only exceptions to this are a few processors who help us provide SmartApply services (application interface, interface to the company’s recruiting system, etc.). We have GDPR-compliant contracts with all of these processors to make sure that they handle your data with the same care as we do.

Your data is stored exclusively on servers inside the EU.
